General Services Administrator

Position: General Services Administrator
Reports to: Director of Administration
Status:  Full-time, nonexempt
Prepared:  July 2, 2008

JOB SUMMARY
Performs HR administrative functions; assists with Communications and PR projects; provides back-up office and administrative support for the organization.

MAJOR DUTIES AND RESPONSIBILITIES
This description is a general statement of required major duties and responsibilities performed on a regular basis. It does not exclude other duties as assigned.

HR

  • Supports all aspects of the organization’s human resources policies, procedures, and practices.
  • Places advertisements, schedules interviews, and sends out offer letters.
  • Conducts staff orientations.
  • Maintains information about training opportunities for staff and helps staff to obtain appropriate training.
  • Assists with scheduling and managing temporary workers.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues, files and data
  • Assists with electronic and paper-based personnel recordkeeping.
  • Clearly and accurately communicates with employees about personnel policies and procedures. 

Communications

  • Assists the Communications Coordinator to promote the organization and inform the public about its programs.
  • Maintains special event and display equipment and materials.
  • Maintains an event/outreach schedule and researches/proposes additional outreach events per outreach strategic plan.
  • Maintains an event/outreach database recording event statistics.
  • Interacts with the public at conferences, fairs, and other events.
  • Attends meeting and events on behalf of Ecology Action and reports to
  • Communications Coordinator / Exec. Director.
  • Assists with the maintenance of over a dozen websites, by uploading material, adding hyperlinks, etc.

Development

  • Assists with electronic and paper-based filing and tracking of proposals.
  • Maintains an archive of proposals and records key information about the disposition of each proposal.
  • Researches, analyzes, and summarize, demographics, services, programs and other background information as assigned to support proposal and program development.
  • May draft cover letters and other written materials in connection with the funding process.

IT

  • Administers staff email accounts.
  • Changes back-up tape.
  • May assist with other IT tasks depending on interests and abilities.

Administration

  • Covers for other General Services staff during periods of unavailability, including Reception and Facilities.
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing.

QUALIFICATIONS

  • Strong interpersonal skills.
  • Knowledgeable about HR concepts, practices, and procedures.
  • Some knowledge of HR laws and regulations.
  • Must possess tact and be vigilant about protecting confidential information.
  • Excellent written and verbal communication skills.
  • Versatility, flexibility, and a willingness to work within a dynamic environment.
  • Ability to understand and carefully follow written and verbal instructions.
  • Commitment to excellence and high standards.
  • Ability to work as a member of various teams and committees.
  • Proficient with Word and Excel; Database experience is helpful.
  • Works under close supervision.
  • Must be accurate and detail-oriented.
  • Associate's degree or its equivalent with 2-4 years of experience performing similar functions.
  • Bilingual in English and Spanish is a plus

Transportation: Class C Driver’s License and proof of current motor vehicle insurance (ability) required.  Personal vehicle availability for business purposes desired.

While performing the duties of this job, the employee is regularly required to sit, stand, talk and hear, and use a computer keyboard and monitor.  The employee must occasionally lift and/or move up to 25 pounds. 

Work Environment:  Generally, the work environment is an office setting. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.

Compensation: Wage ranges from $17.00 to $21.00 per hour, plus eligibility for performance incentive compensation up to 10% of earned base salary maximum, as well as a generous benefit package.  Position is full-time, nonexempt.  Driving an insured personal vehicle on company business is desired (currently $.585/mile reimbursement).
